Procedure for consulting private document collections

Location

ARCA is located on the ground floor of the Stef Coetzee Building, Campus Avenue South, on the Bloemfontein Campus, Bloemfontein, South Africa.

Inventories

Inventories of collections are available on-line. These inventories are used for the selection of specific files in a collection which the researcher wishes to consult.

There are certain collections which are subject to specific donor stipulations. Applications for the viewing of these collections must be made in advance.

Since the process of determining access can take time, researchers are requested to allow enough time for researching the documents in the Archive.

Before access is granted to a document collection, the researcher must undertake to;

  • Submit his/her publication to the Archive before publishing or making it public in any way, so that the Archive may ascertain whether any information obtained from the Archive's collection could be construed as an unjust perception of the donor.
  • Use the information collected at the Archive for no purpose other than the purpose and subject indicated on the application form and to obtain the Archive's written permission before using such information for any other purpose.
  • Inform the Archive in writing of any change of address or change of subject.
  • Present to the Archive, free of charge, a copy of the publication resulting from the study.

If a researcher's needs cannot be met by the services available on-line, he or she can visit us at the University of the Free State.

Duplication

Photocopies will be furnished at the current rate of charge. Scanning or photographing files without using a flash is also permitted. In special instances a small number of requested files will be scanned by personnel and sent to the requester electronically.
