Submit a service request and send the keys (marked with the service request number in an envelope) to University Estates, Room 12. Keys received before 10:00 will be delivered to your office in the afternoon. Keys received later in the day will be delivered the following day.

Protection Services

  • Maintenance of card systems
  • Alarm systems
  • Faulty booms or remotes
Provisioning
  • Moving of loose furniture (if the furniture needs to be disassembled, however, put in a service request with University Estates in advance to arrange a carpenter).

ICT Services 

  • Any IT-related services, including cabling.

BIDDERS/TENDERS

University Estates tenders and quotations will be available on E-Tender on the UE web platform.

The scope of work for the tender will be included in the advert on the website.

Compulsory briefing sessions (clarification meetings) will be done in the form of a livestream with all consultants/contractors (the UFS has endorsed Teams as a virtual platform).

A link for the compulsory virtual tender briefing session will be included in the advert on the website.

The chosen virtual platform has an icon of a hand, where if someone wants to ask a question, they can press the hand icon and the host will be notified that someone wants to ask a question or comment on the subject matter.

The link for the compulsory briefing session will be available for an hour and expire thereafter.

The virtual platform allows for recording of the livestream briefing session, the host of the meeting will notify all the attendees that the meeting will be recorded prior to commencement of the session.

The banking details of the university will be given on the advert of the tenders; the contractors should submit electronic proof of payment stating the company name, the project number, and the name of the project for purchasing of tender document to Liteboho Moleli at molelil@ufs.ac.za Upon receipt of the proof of payment, a link/file will be emailed to the contractors.

The tender period is to a maximum of 14 days in line with the Joint Building Contracts Committee (JBCC) contract.

Contractors will submit their tender documents by sending an email to the UFS centralised E-Tender email address at tenders4provisioning@ufs.ac.za. The subject should be the project name and the words “TENDER/TENDER NO.” Where the document is too large for email, the tenderer must send an email with the link to their preferred cloud storage platform or similar (such as WeTransfer.com), where larger files can be stored and downloaded as specified by the UFS procurement department.

For quotations, the contractors should submit their quotations by email to the UE centralised email address: Quotations4UE@ufs.ac.za. The subject should be the project name and the words “QUOTATION/PROJECT NO.”

For closing of tenders or quotations, an email with a link for the livestream will be sent to all contractors that have submitted the tender documents in order to participate in the closing of tender session.

Any further clarity regarding the BOQ and the scope of work should be addressed to the Principle Agent (the contact details will be on the tender document).

An Excel BOQ can be issued to contractors on request through the Principal Agent (the contact details will be on the tender document).

Only one contractor will be allowed to sign the compulsory briefing session attendance register. Should one contractor sign for more than one company, both companies will be disqualified.

The awarding of the tender does not necessarily depend on the pricing, but also on compliance with the procurement policy of the UFS. The UFS procurement endorses the point system. Please see respective tender documents for specifications.

Tender documents submitted after the closing date and time will be disqualified.

The onus lies with and remains with the contractor to ensure that provision for sufficient time is made in order for emails to be received in time and documents downloaded prior to the closing. It is suggested that contractors also contact the office to confirm receipt of their email or include a read-receipt notification with their email to confirm that their mail has been received.

PROPERTY MANAGEMENT

A vacant rental space shops is advertised by means of a Request for Proposal at Support Services: www.ufs.ac.za/university-estates-home/tenders

The interior maintenance of a rental space (plumbing, air-conditioning, shopfronts, locks, etc.) is the responsibility of the tenant. Interior and exterior structural issues, such as a leaking roof, are the responsibility of the UFS. Communal/exterior blocked drains, paving, etc. are the responsibility of the UFS.
