Staff functionality launched in KovsieApp
On 30 September 2019, staff functionality was launched in the KovsieApp. Staff members can download or update the KovsieApp to receive real-time and urgent communication from the UFS via push notifications in the app. The app uses the Wi-Fi network while you are on a UFS campus, but it will use a small amount of data to send notifications if you are off campus.
Please note, however, that it is imperative to update your cellphone number on the PeopleSoft HR (PSHR) system, otherwise you will not be able to log into the app to access this additional functionality, nor will you be able to receive critical notifications. Please follow these guidelines in order to update your contact details in PSHR. If you are experiencing any difficulties with this process, contact the ICT Service Desk to log a SolveIT incident by calling +27 51 401 2000 or sending an email to servicedesk@ufs.ac.za. How do I download the app?
It is available to download from the Apple App Store or Google Play Store for your iOS or Android mobile device. Search ‘KovsieApp’ (one word, note capitalisation).

Apple App StoreGoogle Play StoreOnce downloaded, the app will install on your device. Depending on your device settings, it will automatically update when new functions are added. If you don’t want to allow automatic update installation, check your App or Play Store settings to ensure that you are notified when updates are available.
How do I register on the app?
Follow the step-by-step guide here:
- Tap on "Login Here" at the bottom of the home screen.
- Accept the Terms and Conditions.
- Enter your staff username (without "@ufs.ac.za" at the end) and your campus password.
- Choose and enter a secure, six-digit PIN.
- Wait for the four-digit validation code to arrive via SMS on your mobile device's number.
- Enter the validation OTP in the app.
- Success! Your name and registered telephone number will appear in the red bar across the bottom of the KovsieApp home screen (see screenshot to the right).
Why do I need the KovsieApp?
The KovsieApp will be used as one of the primary communication platforms to distribute urgent and emergency communication to staff. You will receive real-time communication via the app’s push notifications. In other words, you need the KovsieApp for your own safety.

Nothing. It is

Changing your number in the KovsieApp
Can I request new functionality or additional development for the KovsieApp?
Yes, this is possible. Follow this flow chart regarding the Standard Operating Procedures for new ideas and changes to the app:
- Does your department have a budget for development?
- If yes: Complete a high-level specification and a shortened business case.
- If no: Complete a high-level specification and a shortened business case (where the requester applies to the Communication and Marketing office for the possible allocation of development hours).
- Submit these documents to the Communication and Marketing office; the request is logged on the UFS SolveIT platform and assigned a task number.
- If the request aligns with the UFS Strategic Plan and the ITP, the KovsieApp Committee meets to decide whether or not the request will progress to development.
- If approved, the concept is evaluated by ICT Services for viability: Can it be developed internally, or should it be developed by an external service provider?
- If it is to be developed internally, ICT Procurement handles the quotation process, submitting their findings to the KovsieApp Committee.
- If the development is to be external, the service provider quotes.
- The KovsieApp Committee decides which route is best to take based on the above inputs.
Once developed, the new functionality is first tested, and once all changes have been made, it is signed off and deployed in the latest version of the KovsieApp.
