The Systems and Project Management Directorate (SPMD) was established in July 2023. It plays a critical role in driving high-impact projects and strategic system initiatives that directly support the University’s vision, mission, and long-term objectives. Our mandate is to ensure the successful delivery of student information systems and related solutions that generate measurable value, foster innovation, and promote sustainable outcomes across the institution. 

We work in close collaboration with Information and Communication Technology Services (ICTS), faculties, academic and administrative departments, and external stakeholders to design, implement, and oversee projects that enhance institutional performance. Through robust project governance and stakeholder engagement, we ensure that initiatives are aligned with the University’s strategic priorities by contributing to academic excellence, operational efficiency, and an improved experience for both students and staff. 

We are responsible for managing the full System Development Life Cycle (SDLC), from initial business requirements gathering to final implementation, ongoing evaluation and support. Acting as a vital bridge between ICTS and business units, we translate strategic and operational needs into technical solutions that are scalable, user-focused, and future-ready. 

In addition to project execution, we provide first and second-line support to business units, ensuring the timely resolution of issues, knowledge sharing, and continuous improvement of Student Information Management Systems (SIMS). By combining project management expertise with deep institutional insight, we help the University adapt to a rapidly evolving digital landscape while maintaining a strong focus on service delivery and institutional excellence.

Systems Management and Support +

SPMD provides comprehensive systems management and support services to ensure the smooth operation, security and performance SIMS. This includes proactive system monitoring, troubleshooting, user support, and system upgrades to maintain the integrity of enterprise systems. 

Key areas include: 

a) System Administration and Configuration 
We provide expert system administration and configuration services to ensure optimal setup, customisation, and maintenance of systems. 

b) Functional Support and Troubleshooting 
We offer functional support and troubleshooting services to address operational challenges within institutional systems. 

c) System Testing and Quality Assurance 
We ensure that all SIMS undergo thorough testing to meet functionality, performance, and security standards. 

d) Continuous System Improvement 
We drive ongoing enhancements to SIMS by identifying areas for optimisation, implementing upgrades, and ensuring systems evolve in line with emerging needs.

Business Analysis and Process Optimisation +

SPMD provides business analysis and process optimisation services to improve operational efficiency and effectiveness. This includes analysing workflows, identifying bottlenecks, and implementing solutions to streamline processes, ensuring alignment with strategic goals and enhancing overall productivity.

a) Requirements Gathering and Analysis 
Conducting thorough requirements gathering and analysis to ensure that all project goals and system specifications align with stakeholder needs.  

b) Business Process Review 
Conducting comprehensive business process reviews to identify inefficiencies and areas for improvement.

Supporting the design and validation of tailored solutions to address business needs, ensuring alignment with technical requirements and user expectations.  

Project Management and Delivery +

SPMD oversees the end-to-end management and delivery of strategic SIMS projects, ensuring they are completed on time, within budget, and to specification. This includes project planning, resource allocation, risk management, and stakeholder communication to achieve successful project outcomes.

a) Project Planning and Governance 
We implement best practices in project management, monitor progress, and ensure compliance with institutional policies and regulatory requirements throughout the project lifecycle. 

b) Project Execution and Coordination 
We manage the execution and coordination of projects by overseeing day-to-day operations while ensuring that tasks are completed on schedule and facilitating communication between stakeholders. 

c) Budget, Quality, and Risk Management 
We ensure that projects are delivered within budget, meet quality standards, and adhere to risk management protocols. 

d) Post-Implementation Review 
We conduct thorough post-implementation reviews to assess project success, identify lessons learned, and ensure that deliverables meet the initial objectives.  

Stakeholder Engagement and Communication +

SPMD fosters strong relationships and facilitates clear communication with key stakeholders throughout the project lifecycle. This ensures alignment, collaboration, and transparency, driving the success of strategic initiatives.

We promote interdepartmental cooperation, ensuring seamless collaboration between various teams to align goals, resources, and timelines for project success. 

d) Ensuring Transparency and Alignment 
We maintain clear and consistent communication, ensuring all stakeholders are informed, engaged, and aligned with the project's goals, timelines, and deliverables.  

Knowledge Management and Capacity Building +

SPMD is dedicated to strengthening institutional project management capabilities through knowledge sharing and capacity-building initiatives. We ensure that key insights and skills are captured, transferred, and built upon for continuous improvement.

Key areas include: 

a) Developing and Maintaining a Central Repository of Knowledge 
We create and maintain a central repository to store project knowledge, best practices, and critical resources, ensuring easy access and sharing across the institution. 

b) Documenting Lessons Learned and Promoting Continuous Improvement 
We document lessons learned from each project and share insights to drive ongoing improvement, helping the institution refine processes and achieve better outcomes in future initiatives. 

c) Conducting Training and Workshops 
We provide targeted training sessions and workshops to enhance project management skills, build capacity, and improve the overall effectiveness of project teams across the institution. 

d) Providing Mentorship and Professional Development 
We offer mentorship programs and professional development opportunities for project stakeholders, fostering growth and strengthening project management capabilities at all levels.  

Compliance, Governance, and Data Integrity +

SPMD ensures that all projects are carried out with a strong focus on governance, compliance, and data integrity. We uphold the highest standards of accountability and ensure that systems and processes are aligned with institutional policies and best practices.

a) Promoting Sound Governance and Accountability 
We implement governance frameworks that ensure transparency, accountability, and ethical decision-making throughout the project lifecycle. 

b) Ensuring Data Integrity, Accuracy, and Confidentiality 
We maintain the highest standards of data management by ensuring that all systems and reports are accurate, reliable, and secure, protecting sensitive information. 

c) Providing Oversight to Ensure Adherence to Policies and Standards 
We provide continuous oversight to ensure that all projects comply with institutional policies, industry standards, and regulatory requirements, guaranteeing that best practices are consistently followed. 

Message from the Head


Strategic Objective 4.1 under Goal 4 of Vision 130 outlines a clear mandate: the University must enhance the efficiency and effectiveness of its non-academic support structures and systems. In alignment with this objective, a key initiative involves the digitisation and digitalisation of 10 to 20 critical support processes. This is part of a broader effort to modernise administrative functions and improve service delivery across the institution. Significant progress has already been made in this regard.

Two flagship digital transformation projects – online registration and the online application processes, were successfully delivered in January/February 2025 and April 2025, respectively. These initiatives mark major milestones in the University's roadmap to automation and have been identified as core enhancement projects for the 2026 academic year. Their primary aim is to strengthen self-service capabilities and streamline key business processes for improved user experience.

A major cornerstone of these efforts is the Academic Administration System Renewal (AASR) project, currently being led collaboratively by the SPMD, Student Academic Services (SAS), and ICTS. These units are working in close partnership to design and implement a modern, integrated system that will support academic administration processes more efficiently. Several initiatives under this project are on track for implementation in 2026 and 2027.

To ensure that academic administrative processes align with faculty needs, faculty-based staff, particularly those involved in academic administration, are actively participating in specialised Focus Groups. These groups have been established to address each of the project's key thematic areas, ensuring that end-user insights and operational realities are embedded in the design and implementation phases.

Finally, to support a smooth transition and long-term sustainability of the new systems and processes, a dedicated training and capacity-building component has been integrated into the SPMD portfolio. This initiative is designed to ensure that staff remain equipped with the skills and knowledge required to navigate and leverage emerging digital tools, thereby fostering a culture of continuous learning and operational excellence.
